1. Who we are

OctaneIQ LLC ("OctaneIQ", "we") operates a churn prediction and intervention automation platform for B2B SaaS companies. Our registered office is 1603 Capitol Ave Ste 415, Cheyenne, WY 82001, United States.

2. Data we process

Workspace data: your name, work email, organization name, role and authentication metadata, used to run your account and enforce access control.

Connected system data: billing records (subscription status, MRR, invoice and payment events), product usage events (logins, feature and seat activity), support signals (ticket volume, sentiment, response times) and CRM fields you choose to sync. This is the input to every risk score.

Operational data: audit logs of playbook runs, integration syncs, model retrains and admin actions.

Product telemetry: page performance, feature usage and error traces inside the OctaneIQ app, used only to improve reliability.

3. Why we process it

To calculate daily churn risk scores and rank accounts by revenue at risk.

To execute the automation rules you configure — Slack escalations, CRM tasks, email sequences and in-product nudges.

To provide auditability: who changed a rule, when a score moved and which intervention fired.

To bill your subscription, prevent abuse and meet legal obligations.

We do not sell customer data, and we do not use your end-customer data to train models for other OctaneIQ tenants.

4. Legal bases

For customers in the EEA and UK we rely on: performance of a contract (running the service), legitimate interests (security, product reliability, fraud prevention) and consent where required for marketing communications. You can withdraw consent at any time.

5. Sub-processors

We use a limited set of vendors to deliver the platform: cloud hosting and managed Postgres, transactional email delivery, payment processing, error monitoring and support tooling. Each is bound by a data processing agreement and processes data only on our instructions. A current list is available on request.

6. Security

Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Access to production is role-based, MFA-enforced and logged. Integration credentials are stored in an isolated secret store and are never exposed in the UI or API responses. We run continuous dependency scanning and annual penetration tests, and operate under a SOC 2 Type II control set.

7. Retention

Risk scores, events and audit logs are retained for the life of your workspace plus 30 days. On written deletion request or 30 days after account termination, workspace data is permanently deleted from primary systems, and from encrypted backups within 35 days.

8. Your rights

You may request access, correction, export or deletion of your personal data, object to processing, or ask us to restrict it. Where you are a data processor for your own customers, OctaneIQ acts as a sub-processor and will assist with any downstream request you receive.

9. International transfers

Workspaces can be pinned to US or EU processing regions. Where data leaves the EEA or UK, we rely on the EU Standard Contractual Clauses and the UK Addendum, supplemented by encryption and access controls.

10. Changes

Material changes to this policy are announced in-app and by email to workspace admins at least 14 days before they take effect.
